Job Description:

ADMINISTRATIVE ASSISTANT AND OFFICE COORDINATOR

Job Description:

Answers telephones and greets visitors and guests in a warm and professional manner. Serves as first line of communication for the President and CEO. Communicates with a wide variety of executives and officials to exchange critical or sensitive information and expedite matters on behalf of the President and CEO. Refers matters to appropriate department within the Hospital and follows up as needed. Uses considerable discretion, judgment, tact, and diplomacy at all times.

Handles patient calls, patient comments, and patient complaints in a timely manner providing prompt and efficient handoff to the patient relations office.

Manages and coordinates accurate calendar and schedules meetings as needed for the President and CEO. Screens and prioritizes appointment requests. Arranges appropriate meeting rooms, catering, and internal and external logistics. Effectively plans and organizes special events and other duties as assigned.

Produces accurate and high-quality correspondence, memos, and presentations as requested. Edits material for grammar, spelling, and format. Maintains office files.

Processes monthly expenses and credit card activities.

Ensures adequate inventory of office supplies and oversees the maintenance of office equipment.

Sorts and delivers incoming and outgoing mail.

Maintains collaborative team relationships with peers and colleagues in order to effectively contribute to the achievement of goals and to help foster a positive work environment.

Qualifications:

High School Diploma or Equivalent required. Bachelor’s Degree preferred.
