Job Description:

Facilitates and performs the day-to-day functions within the Medical Staff Office related to the credentialing, reappointment and privileging process.  Responsible for making sure applications are complete and processed on time according to the specifications defined in the Medical Staff Bylaws. And the medical staff credentials are current.

Facilitates the day-to-day exchange of documents and communications with the credentials verification organization (CVO) concerning the collection and verification of information required for medical and allied health staff applications.

Provides administrative support to medical staff leadership as needed.  This may include scheduling meetings, conducting mailings and other administrative tasks.

Provides administrative support to the Credentials and Medical Executive Committees, maintaining committee calendar, prepare meeting agenda and materials, committee minutes, post meeting material on Board Books, related correspondence to the Board of Trustees, Hospital Administration and members of the Medical Staff.

Provides administrative support to the Bylaws Committee, and with the review of the Medical Staff Bylaws and Credentialing process.  Prepares and maintains minutes and related correspondence of the Bylaws Committee to the Board of Trustees, Hospital Administration and members of the Medical Staff.

Provides administrative support to the Nominating Committee, and Bylaws Committees by scheduling meetings, preparing agendas and maintaining, committee minutes, and related correspondence to the Medical Executive Committee, Board of Trustees and Hospital Administration.

Provides administrative support for the Annual and Special Meetings of the Medical Staff. Such support may include but is not limited to scheduling meetings, preparing materials for the meeting, performing mailings to the medical and allied health staffs.

Maintains current knowledge and expertise related to credentialing and of applicable federal and state rules and regulations and Joint Commission and National Council Quality Committee for Quality Assurance standards.

Participates in the completion of the Periodic Performance Review of the Medical Staff by The Joint Commission.Develops and implement action plans to resolve areas identified as non-compliant.

Ensures clinical privilege files are in order to facilitate the review by the Department Chairs.

Ensures that the information in CATUS, the credentialing data base is accurate, timely and complete.Proficient in the ability to create, edit and generate statistics (i.e. length of service, immunization status) reports and letters using CATUS and other software such as Excel.

Develops tickler files to ensure that applications are processed according to specifications described in the Medical Staff Bylaws, and that expirable documents (such as licenses, DEA, malpractice coverage and certifications remain current.)Contacts practitioner for needed documents.

Reviews of credential applications and files, follows-up on expired credentials, issuance of temporary privileges.

Collects and verifies documents required for temporary privileges. Reviews documents to ensure practitioner is eligible for temporary privileges, as defined by the Medical Staff Bylaws.Prepares cover letter and obtains signatures for approval.

Facilitates the annual Unicare audit of PHO practitioners’ credential files.

Provides annual Physician report to the MassPro.

Qualifications:

High School Diploma or Equivalent required. Associate's Degree/Bachelor's Degree required or Equivalent credentialing training and/or experience .

3-5 years experience.
