Under the direction of the Program Director of the Opioid Treatment Center (OTP)-, is responsible for all aspects of billing for services provided by the OTP, as well as OTP admissions, and the correct entry of information into the billing system in a timely manner.
Essential Functions/Key Responsibilities:
- Conducts a phone survey of all intake calls, and presents information to program leadership to determine client’s eligibility for program services. Maintains an on-going client waiting list if needed.
- Maintains a log of clients denied admission to the program including name, reason for denial and referrals made
- Coordinates intake schedule with counseling staff.
- Responsible for all financial intake documentation including verification of the client’s insurance coverage or payment method upon intake.
- Monitors client’s insurance eligibility at least bi-weekly, and regularly monitors the DPH contract reimbursement, and weekly payments by clients on a private payment plan. Meets with clients relative to payment expectations and develops and issues financial contracts to clients with past due balances.
- Assess uninsured client’s ability to contribute toward their treatment service fees by using a sliding fee scale. Maintains a list of clients being billed to the BSAS contract and reassesses their financial status at least every 90 days to determine client eligibility or ability to self-pay.
- Enters all applicable insurance information into the billing system and updates information as needed so that services can be billed and revenue collected in a timely manner. Serves as the liaison between the program and the billing department. Works with the billing department to resolve denials and update client insurance coverage information.
- Maintains an efficient tracking system of required information for various process/procedures directly related to the operation of the OTC.
- Tracks all new clients through the intake phase.
- Verifies client documentation from collateral treatment providers.
- Assists in coordinating temporary transfers.
- Refers clients not meeting level of care to appropriate treatment services.
- Deposits weekly/monthly client fees, and provide reporting of weekly/monthly client fees.
- Monitors fax machine periodically to retrieve faxes.
- Prepares accounts payable invoices for Program Director signature and submits to the Accounts Payable Department when complete.
- Other duties as assigned.
Qualifications & Education:
- One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.
- Must demonstrate ability to relate to a substance abuse treatment population in a sensitive manner, an interest and willingness to work in a multicultural setting and must share a customer service orientation. Identifies and resolves problems in a timely manner; Uses reason even when dealing with emotional topics.
- Manages difficult or emotional client situations; Responds promptly to client needs and maintains confidentiality.
- Computer literate in standard desktop applications such as Windows, Word, and Excel.
