Duties/Responsibilities:
Oversight of Perioperative Inventory and Material Management
- Works within the OR suite as the primary resource person for all surgical inventories and works closely with Materials Management Director and OR Buyer.
- Determines, in conjunction with Materials Management staff, MDs and OR Team Leaders, the equipment and supply needs for the surgical specialties.
- Serves as coordinator for Surgical Services One Recall notifications – reviews all recalls of supplies or equipment, completes/closes or re-assigns to an appropriate responder.
- Prepares, plans and coordinates annual inventory process with OR Manager and Team Leaders.
- Orders all OR inventory and OR Consignment items and implants
- Maintains implant cards and prepares for offsite storage.
- Maintains appropriate par levels in order to avoid overstocking or shortages.
- Receives/restocks special order supplies to appropriate locations, rotating items to eliminate outdating.
- Reviews all new product requests from surgeons for completeness
- Point person for Surgical Services Lumere submissions
- Assists Perioperative staff with new items and orders as requested
- Liaison between MM, OR staff and surgeons regarding product backorders and substitutes
- Maintains compliancy in tracking all tissue, dates received, PO numbers and tissue integrity
- Updates tissue FDA and Accreditation information
- Receives, logs and monitors all contents of Bone Freezer according to policy.
- Develops and maintains product files
- Primary contact and coordinator of equipment, supplies and implants for onboarding of new surgeons
- Coordinates with team leaders in maintenance of specialty carts
Financial Accountability
- Addresses possibilities in product changes with positive financial impact on institution
- Completes new item form for approved items and implants. Sends to the appropriate contacts for build
- Works with outside resource companies to sell unused, non-moving product that can’t be returned
- Works with outside resource companies to find product that is on manufacturer back orders with no release dates
- Maintains and reviews all OR Consignment inventories
- Serves as sales rep contact for OR auditing discrepancies
- Collaborates with the OR Business Manager to review patient charges to determine completeness and accuracy
- Assists in documentation of missing items and implants and assures charges are being captured
- Keeps files of consignment inventory and assures that it is stored in secured areas
- Consistently monitors stock and orders one for one, as needed
- Coordinates OR Inventory counts and requests vendor scanning, if applicable
- Serves as member of the Vendor Work Group Committee
- Assists with summary of new product requests for Vendor Workgroup Committee
- Participates in unit-based management performance improvement activities
- Reviews New Product Request Forms from surgeons for accuracy and submits to the Material Management Director
- Logs new trial and evaluations
- Maintains all files in Vendor Workgroup and prepares monthly agenda
- Assists all peri-operative departments with ordering and researching of new products
Equipment Responsibilities
- Assists in standardizing of equipment/products and the deletion of equipment and products that are no longer used
- Assists in arranging for loaners as needed
- Coverage of Team Leads supplies and equipment monitoring in their absence
- Coordinates with charge nurse all schedule changes, equipment issues and special order items needed
- Assists with yearly Preventative Maintenance
- Assists in arranging in-services and training for all equipment/products
- Collaborates with CSR to assure that instrumentation is available
- Maintains the suture/staple cart and all Surgical Services and Procedural specialty carts
- Maintains and reviews all consignment inventories
- Serves as sales rep contact for OR auditing discrepancies
- Order and receive all supplies purchased from vendor and verify supplies and their charges
- Coordinate with OR Charge Nurse for vendor representation needs
- Oversee Sales Representatives in the OR; ensuring compliance with hospital policies

Education/Experience Required:
- Associates degree required
- Minimum 5 of years of Operating Room experience required
- Excellent organizational skills and knowledge of medical terminology required
- Capable of self-directed responsibilities and able to establish priorities
- Must be able to function in a fast-paced, stressful environment with minimal supervision
- Must be able to work with all levels of staff and external business contacts
- Must have excellent computer skills including Meditech, Word, Outlook and Excel
- Lumere, One Recall, Workday MM and Epic experience preferred
- Experience in surgical supply acquisition, distribution and management preferred
Registration/Certification:
- Certified Surgical Technologist
