The Quality and Patient Safety Department supports the performance improvement initiatives of the organization, provides performance data analytics, including patient satisfaction survey results, guides patient and family relations, oversees Joint Commission readiness and regulatory compliance, and promotes patient safety and risk reduction. Schedule: 8am – 4:30pm Monday – Friday

Job Description:

The Administrative Assistant reports to the Director of Performance Improvement (or designee) providing office support and assistance to the Performance Improvement Department (including Infection Prevention and Control) and its Leaders. Responsibilities:Facilitates, coordinates and supports efficient office operations for the Director and the Department Leaders related to but not limited to the following:

  • Calendar Management
  • Scheduling of Meetings/reminders
  • Minutes for ASC, PIPS, PFAC, Infection Control Committee and other meetings as assigned
  • Organizes meeting materials, including packets (electronic and paper filing), agendas, team reports, meeting notices, distribution, audio/visuals, computer and refreshments
  • Keeps current the “time – off/coverage” binder and electronic file with posting on bulletin board
  • Provides clerical and data analysis support for projects as assigned, reviews/validates dashboards as requested
  • Supports monthly budget reviews and expense/invoice submissions
  • Files, scans, organizes binders, sets up cabinets, orders supplies and follows up on requests
  • Maintains stock, orders supplies and keeps on top of equipment function- contacts vendors and trouble shoot issues. (It is critical the department’s systems are in working order especially at the end of each day)
  • Manages the NIC site for Quality and Safety, posts, updates, and monitors content and functionality proactively
  • Project work such as – Employee recognition program support, Press Ganey comment reports, Annual National Patient Safety Month events, and PI projects support
  • Covers phones for the Care Line as available

  Key Required Skills:

  • Strong written and verbal skills, knowledge of proper grammar use and sentence structure
  • Possess a key attention to detail with regard to documents, data entry, and email communication
  • Dependable and reliable, sensitive to project deadlines and department events
  • Able to establish a positive work flow with multiple competing priorities anticipating work    completion in advance of deadlines
  • Strong work ethic/ownership of role
  • Computer and technology savvy
  • Intermediate Word, PowerPoint and Excel skills; additional data base skills a plus
  • Demonstrates a strong customer service approach to all constituents
  • Ability to be agile with shifting priorities and work as a key team member
  • Demonstrates ability to limit personal phone calls, and personal business during work hours
  • Adheres to office decorum with the use of shared space and complies with the NHC Code of Conduct
  • Must have the ability to maintain a high level of confidentiality with regard to all work content
  • High integrity, self- motivated with a desire to learn

 Education/Experience:

  • Bachelor’s Degree in health care, secretarial science, business, or English preferred. Other academic preparation combined with work experience and demonstrated skill will be considered.

 

 

Pay Range:

$20.00 – $26.92

The pay range listed for this position is the base hourly wage range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.  Compensation may exceed the base hourly rate depending on shift differentials, call pay, premium pay, overtime pay, and other additional pay practices, as applicable to the position and in accordance with the law.
