Job Description:

Under the general direction of the Director, Health Information Services, is responsible for the activities of the Record Analysis, Transcription and Record Completion areas. 

Prioritizes and assigns tasks; inspects completed work assignments; recommends improvements in work methods to ensure efficiency and quality; answers questions and resolves problems.

Duties/Responsibilities:

  • Coordinates and monitors the activities of the transcription, record completion, and discharge analysis areas.  Prioritizes and assigns tasks; inspects completed work assignments; recommends improvements in work methods to ensure efficiency and quality; answers questions and resolves problems.
    • Develops standards of performance and revise job descriptions on an as-needed basis, but at least annually.
    • Manages staff performance daily and implements appropriate actions.
    • Submits weekly quality assurance and statistical reports timely and accurately for the Director.
    • Serves as liaison between transcription service and hospital.
    • Performs corrections and amendments to records.
    • Submits and implements plan of action for non-compliance of standards/monitors.
    • Answers questions and resolves problems with courtesy, tact, and timeliness.
  • Prepares, reviews, and modifies employee schedules; authorizes time off for employees.  Provides for the safety of his/her employees.
    • Maintains employee schedules to meet department workflow needs.
    • Provides a safe environment for employees by identifying/eliminating potential work hazards
  • Assists in developing and implementing department policies and procedures.  Participates in budgeting preparation and evaluation of purchased services pertinent to areas supervised.
  • Interviews and recommends candidates for hire.  Orients new employees to departmental practices and policies.  Evaluates performance of department personnel.
  • Effectively communicates and interacts with physicians, hospital staff, and ancillary staff.
  • Participates in the record review processes.
  • Participates in hospital committees (i.e. Medical Record Committee).
  • Assists in the developing, coordinating, and conducting of in-service education programs pertinent to health information management activities.  Participates in professional activities and organizations to keep abreast of technical developments and other applications.
    • Meets at least monthly with assigned teams to discuss issues.
    • Presents in services with clarity.
  • Is responsible for department’s operational excellence; assures department delivers quality services in accordance with applicable policies, procedures, and professional standards.
    • Manages all activities so that quality services are provided in an efficient and effective manner, as observed by Director.
    • Services provided meet all applicable regulatory requirements
  • Assists Director in working with the department to ensure efficient work flow and processes are in place.
    • Uses a customer focused approach to improving the services Health Information Management provides.
    • Monitors areas where timeliness of processes must be maintained.
  • Manages human resources to assure quality services and promote positive employee relations.
    • Consistently and fairly implements human resources policies.
    • Maintains effective and appropriate staffing by monitoring employee turnover, overtime, and absenteeism.
    • Employee performance appraisals are completed thoroughly and submitted on time.
    • Follows human resources policies to implement progressive discipline when necessary.
    • Collaborates with human resources on the recruitment and selection of qualified employment candidates, following all policies, guidelines, and applicable laws.
    • Is recognized as a positive role model.
  • Is responsible for the fiscal management of the department; assures proper utilization of the organizations financial resources.
    • Develops department budget within designated deadlines according to all budgetary policies and procedures.
    • Effectively utilized resources within established budget; notifies Director of all variances anticipated, or occurred, to maintain department services.
    • Adheres to procedures regarding acquisition of, and payment for, goods and services, as evidenced by appropriate and timely processing requisitions and invoices.
    • Recommends way to reduce expenditures and/or enhance revenues without compromising quality of services.
  • Effectively communicates departmental, organization, and industry information to staff.
    • Attends organization’s informational meetings.
    • Gathers, interprets, and delivers information to staff in a timely fashion.
    • Assures staff understands information as evidenced by staff compliance with, and participation in, hospital programs, seminars, training, and related activities.
    • Communication with staff is effective, resolves conflicts which may hamper relations and productivity, as observed by Director.
    • Uses hospital communications resources to inform internal and external audiences of departmental news/achievements/policies.
  • Technology – Embraces technological solutions to work processes and practices.
  • Safety Awareness – Fosters a “Culture of Safety” through personal ownership and commitment to a safe environment.

Education/Experience Required:

  • Associates Degree preferred. 
  • 3-5 years acute hospital experience in medical transcription.
  • Excellent written, oral and human relations skills
  • Excellent teaching and presentation skills
  • Ability to organize work, prioritize deadlines and establish priorities without guidance as evidenced by prior work history
  • Working knowledge of Microsoft Word, Excel and Power Point
  • Knowledge of Medical terminology, Anatomy and Physiology, Disease Processes

Registration/Certification:

  • Certified Medical Transcriptionist (CMT) preferred

Physical/Environmental Requirements:

This job requires frequent bending, carrying, pulling, pushing, reaching, standing, stooping, walking and lifting over 10 lbs. There will be occasional need for climbing stairs, lifting in excess of 50 – 100 lbs and sitting. Constant use of hearing, sight and speech. Frequent use of smell and touch. Frequent keyboard and telephone use. Constant concentration and problem solving.

 

 

Pay Range:

$79,997.00 USD – $107,665.00 USD

The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
