Job Description:

The Surgical Coordinator is a critical position that has a major impact on direct patient care and the financial success of the practice and organization.  

This position entails coordinating patient care and all surgical scheduling functions for a busy Orthopedic practice at New England Baptist Hospital in Chestnut Hill and Dedham.  Responsibilities also include negotiating and coordinating Worker's Compensation claims and IME coordination.

Candidate should possess good computer & communication skills. The candidate schedules surgeries and works with various departments within the hospital. Collaborates with our OR scheduling team, Pre-Screening Unit, Medical Records, and a variety of specialties. Provides patients with preoperative teaching materials, for surgeries done on the Main Campus, NEBOC, and other ASC locations as needed. Works with payors and case managers for Worker's Compensation cases to negotiate, obtain fee agreements, and coordinate and facilitate all matters relating to IME’s. Functions in the physician’s office to ensure the efficient management of the daily surgical schedule and worker’s compensation cases.

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

  • Coordinates scheduling of surgeries for one spine surgeon at New England Baptist Hospital.
  • Helps maximize utilization of operative time while abiding by the regulations of the hospital.
  • Manages surgical schedule/dates
  • Obtains surgical insurance authorizations • Coordinates all pre-op tests and clearance/prescreening appointments for surgical patients.
  • Sends pre-op information packets to patients.
  • Answers and helps deal with pre-operative and post-operative patient phone calls/issues.
  • Helps answer all other patient phone calls in the practice in a timely, polite, and professional manner.
  • Documents accurately and timely patient telephone conversations in the electronic medical record.
  • Coordinates patient care by obtaining insurance approval and booking necessary tests
  • Coordinates plans for management of surgical patients during the peri-operative period including interacting with primary care physicians and other physician’s offices.
  • Provides complete and timely billing codes and information for surgical cases and clinic visits to the billing company.
  • Organizes and files lab and imaging reports, other physician notes, operative notes, test results, and surgical booking sheets/information in the electronic medical record.
  • Keeps an updated list of pre-surgical patients with patient information, planned surgery, and pre-op tests needed to track where the patients are in the process of getting ready for surgery.
  • Works with billing company to insure appropriate billing and reimbursement for surgical cases and clinic visits.
  • Responsible for surgical referral and authorization verification prior to/and following appointments and surgeries.
  • Helps schedule surgical patients’ post-op appointments.
  • Helps manage and organize the clinic schedule. Books new and follow-up patient appointments.
  • Works with billing company to resolve billing patient inquiries and concerns.
  • Helps run clinic days in the office as needed. Includes checking in and checking outpatients as needed, verifying and obtaining insurance and demographic information, taking notes and acting on the plan set out by the surgeon for the patient, organizing and filing new patient packet information, other physician notes and patient reports into the electronic medical record, scheduling follow-up appointments, etc.
  • Maintains professional and cooperative relations with fellow employees, medical staff, patients, and guests
  • Performs other work-related duties and activities as assigned or requested.
  • Negotiates & coordinates Worker's compensation cases and IME

    coordination.

  • Communicates with attorneys, case managers & adjustors

  • Maintains current worker’s compensation contacts and documentation within the EMR

QUALIFICATIONS:

JOB KNOWLEDGE AND SKILLS:

  • Excellent organizational skills and ability to keep accurate records.
  • Strong interpersonal and communications skills to interact effectively with physicians, patients, families, other physicians, and hospital staff.
  • Knowledge of medical terminology and federal CPT coding policies is strongly preferred.
  • Familiarity with electronic medical record systems including eCW and Epic preferred.
  • Typing skills MS Office/Excel, Outlook

EDUCATION:

  • High school degree required, Bachelor's Degree preferred.
  • Knowledge of healthcare management would be helpful.

EXPERIENCE:

  • Experience in a health care setting.
  • Previous surgical scheduling experience
  • Previous experience obtaining insurance approval/prior authorization/worker compensation
