Reviews and responds to requests for confidential health information from patients, health care facilities, attorneys, insurance companies, and other authorized parties, according to established policies & procedures.

  • Promptly and accurately responds to requests for disclosure of medical information in compliance with Massachusetts General Laws, Federal Public Health Laws & HIPAA Regulatory Guidelines.

  • Utilize Epic to retrieve patient medical information promptly. Assists colleagues, including BILH physicians, in retrieving this information as requested.

  • Receive, log, process, and validate subpoenas and court orders as required by law to release sensitive or protected health information.

  • Receive and process phone calls and/or faxes requesting disclosure of medical information. Respond to emergency phone and fax requests after appropriately verifying the requestor's identity with a return phone call.

  • Confirm the validity of all authorizations and determine whether the release of information is appropriate based on Massachusetts General Law, Federal Public Health Laws, and HIPAA Regulatory guidelines. Returning invalid requests with an explanation and requests a valid authorization.

  • Interpret and implement hospital and departmental policies regarding disclosing confidential patient medical information based on Massachusetts General Laws, Federal Public Health Laws, and HIPAA regulatory guidelines.

  • Prepare records for submission to an external copy service by analyzing requests and determining what health information is pertinent to the request. Forward records to the Discharge Analysis area for action.

  • Forward health information requests to the appropriate HIM Supervisor and/or areas within BILH (i.e., Risk Management, etc.) as necessary.

  • Assess whether pertinent health information is needed for emergency care of a patient.

  • Compose original letters in response to problem cases, requests for more information, or requests that require a higher level of authorization (e.g., patient authorization for protected health information, court orders, etc.) to properly release.

  • Monitor all pending requests. Provide daily statistics to the Supervisor, thus ensuring a prompt response to requests for health information.

  • Perform file maintenance and quality assurance projects as assigned.

  • Provide supervisor input regarding workflow effectiveness to ensure proper staffing levels match workload requirements.

  • Incorporate BILH's Guiding Principles, Mission Statement, and Goals into daily activities.

  • Comply with all BILH Policies.

  • Comply with the behavioral expectations of the department and BILH.

  • Maintain courteous and effective interactions with colleagues and patients.

  • Demonstrate understanding of the job description, performance expectations, and competency assessment.

  • Demonstrate a commitment toward meeting and exceeding the needs of our customers and consistently adhere to Customer Service standards.

  • Participate in departmental and/or interdepartmental quality improvement activities.

  • Participate in and complete assigned mandatory education successfully and on time.

  • Perform all other duties as needed or directed to meet the department's needs.

Minimum Qualifications:
Education: High School degree or equivalent

Required Skills, Knowledge & Abilities:

1. Ability to effectively organize and prioritize administrative duties.

2. Ability to routinely communicate with customers clearly and positively.

3. Ability to access and process electronic information utilizing computer technology.

Experience:

Minimum of 1 year of experience performing administrative duties involving interaction with internal or external customers.
