Job Description:

Primary Responsibilities

  • Works closely with pathologists to handle a variety of tasks, including case statuses, resolving discrepancies, ensuring accuracy and completeness of all documents from consultations, transcribing pathology reports, tracking case numbers per pathologist for equity, and troubleshooting issues
  • Processes incoming results from reference labs, physicians and consultations; incorporates results into pathology report and scans into the Laboratory Information Management Systems (LIMS) 
  • Responsible for send-out ancillary testing and receiving specimens physically and electronically from couriers, read manifests to verify the appropriate count
  • Coordinating patient case materials for conferences/tumor board
  • Process attorney requests for patient slides for legal matters; maintain all
  • documentation related to these requests
  • Maintaining library conference scheduling and assisting the medical director with rotating pathologist schedules. 
  • Assist in generating and managing reports as directed by the manager, medical director, and lab director and participate in process improvement projects, which include data collection, updating procedures, and streamlining workflows
  • The pathology secretary performs all administrative functions, including answering calls and providing related follow-through, maintaining adequate office supplies, sorting and distributing mail, faxing documents, filing microscope slides and tissue blocks, and other duties as needed.
  • Works in conjunction with the Laboratory Director, Pathologists, and  Manager to ensure adherence to quality, safety, regulatory, certification and accreditation standards in compliance with the policies and procedures mandated by MAH, JCAHO, CAP, OSHA and other accrediting agencies.
  • Supporting other areas of the Anatomic Pathology Department, as needed. This can include, organizing and disposing of specimens, distributing histology slides to Pathologists, utilizing the paraffin trimmer for cassettes, and maintaining staining equipment

Required Qualifications

  • Thorough knowledge of medical terminology required, excellent typing/computer skills, normally acquired through the completion of an Associate's degree or equivalent (Bachelor's preferred).
  • At least one year of medical secretarial experience and office experience preferred.
  • Need excellent communication skills, including good auditory abilities.
