The Wellness Programs Manager is responsible for the design, coordination, and day-to-day management of integrative wellness services for oncology patients and for leading the evolution of a hospital-wide wellness strategy with an initial focus on employees. The position serves as a key liaison among clinical departments, Human Resources, Volunteer Services, Education/Residency leadership, and external partners to ensure that wellness offerings are accessible, well-integrated into care and work flows, and aligned with organizational mission and compliance requirements.
The Wellness Programs Manager demonstrates strong program management, relationship-building, and communication skills; collaborates effectively with multidisciplinary teams; manages multiple initiatives simultaneously; and brings curiosity and creativity to piloting and scaling evidence‑informed wellness practices that support patient experience, staff engagement, and organizational resilience.

Primary Responsibilities
Core program operations
- Manages/directs day-to-day operations of oncology wellness services, including scheduling, coverage, and coordination of per diem integrative service staff (e.g., acupuncture, massage, movement), ensuring appropriate documentation, consent, and clinical appropriateness of services.
- Oversees volunteer engagement for wellness programs, partnering with the Volunteer Coordinator to recruit, onboard, orient, and schedule volunteers (e.g., reiki, pet therapy, movement instructors, waiting room support) and to ensure safe, compliant practice across care settings.
- Coordinates referrals and communication with clinical teams in infusion, clinic, radiation oncology, surgery, and survivorship to support appropriate access to wellness services and smooth workflows for staff and patients.
- Maintains and updates scheduling and communication systems (e.g., bookings or successor platforms, calendars, marketing materials, web pages) to reflect current offerings and availability for patients and staff.
- Oversees completion, storage, and tracking of all program documentation and logbooks, including transfer to tracking tools (e.g., spreadsheets or databases) to support operational, quality, and evaluation needs.
Strategic development and hospital‑wide scope
- Collaborates with Human Resources, Occupational Health, departmental leaders, and relevant system-level partners (e.g., BILH wellness initiatives) to design and implement an initial hospital-wide staff wellness pilot, with particular attention to high‑stress areas such as the Emergency Department, Maternal Health, and other priority units.
- Builds and sustains partnerships with key stakeholders, including Volunteer Services, Resident/Teaching Program leadership, Social Work and Psychology, Chaplaincy, and external collaborators, to identify realistic and impactful wellness opportunities within existing daily workflows.
- Explores and adapts best practices in employee and patient wellness within MAH and across peer hospitals (e.g., inpatient/outpatient reiki models, group movement, mindfulness, and other evidence-informed offerings), shaping a flexible framework for future expansion beyond oncology.
- Serves as a connector between wellness initiatives and philanthropy, helping to identify emerging project concepts, articulating program impact, and supporting funding proposals and stewardship in collaboration with Philanthropy colleagues.
Program evaluation, data, and communication
- Develops and maintains simple, scalable tools and processes to collect, synthesize, and report participation, experience, and outcome data for wellness offerings, using surveys and existing systems to inform continuous improvement and strategic decisions.
- Translates program activity and evaluation findings into clear summaries, presentations, and updates for clinical and administrative leaders, philanthropy partners, and other stakeholders, helping to build shared understanding of wellness value and opportunities.
- Partners with marketing, communications, and relevant hospital teams to ensure that wellness offerings for patients and staff are communicated clearly, accurately, and in alignment with institutional standards.
Leadership, supervision, and financial stewardship
- Provides oversight and guidance to wellness program staff, volunteers, and per diem instructors, including contributing to role design, onboarding, and performance feedback processes in partnership with the manager/supervisor and HR.
- Participates in or leads the development of new casual/per diem wellness roles (e.g., Wellness Instructor), including contributing to role definitions, workflows, and staffing models that support sustainable program growth.
- Collaborates with the designated manager and MAH Finance to plan and monitor program budgets, aligning use of grant and operational funds with mission, staff needs, and patient benefit, and ensuring responsible ordering and management of program supplies.
Qualifications
- Bachelor’s degree in a related field (e.g., health sciences, social work, public health, psychology, or equivalent experience) required.
- 3–5 years of experience in program coordination or management in a healthcare, behavioral health, wellness, or related setting, with direct experience working in multidisciplinary teams and/or with volunteers strongly preferred.
- Demonstrated ability to manage complex scheduling, documentation, and communication processes; prioritize multiple activities; and maintain a calm, solution‑oriented approach in a fast-paced clinical environment.
- Strong interpersonal skills with demonstrated ability to engage effectively with staff at all levels, patients and families, volunteers, and external partners, including comfort facilitating small groups and wellness activities where appropriate.
- Working knowledge of or openness to learning about integrative and wellness practices, hospital compliance and documentation requirements, and employee wellness concepts.
Pay Range:
$75,000.00 USD – $110,000.00 USD
The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
