Provides high-level support to the Department Chair and the Vice Chair for Academic Affairs in managing all Harvard Medical School faculty actions, including initial appointments, reappointments, promotions, and related academic processes, ensuring accuracy, timeliness, and full compliance with institutional policies. Develops, authors, and maintains comprehensive documentation aligned with HMS requirements for faculty appointments.
Leads and oversees the full lifecycle of recruitment and onboarding for faculty, postdoctoral investigators, clinicians, and researchers. Responsibilities include coordinating search committees, posting advertisements, preparing offer letters and contracts, ensuring completion of HR-mandated employment documentation, and arranging necessary resources such as pagers, keys, and identification credentials. Collaborates closely with IT to ensure new hires receive appropriate equipment, system access, and workspace setup.
Manages financial operations associated with HMS endowments and other special funds, including budgeting, billing, and account reconciliation. Provides support to the Chief Administrative Officer on annual budget development, financial analyses, proformas, and various strategic or special projects.

Job Description:

Essential Responsibilities:

  • Documents project scope, goals and objectives, success criteria, assumptions and team memberships through rigorous analytical processes under direction of project sponsors(s).

  • Designs communication strategies for project process.

  • Prepares engaging, informative and well-organized presentations.

  • Identifies resource needs and project stake holders.

  • Facilitates participation by team members and the documentation of processes.

  • Manages multiple projects and deadlines.

Required Qualifications:

  • High School diploma or GED required; Bachelor's degree preferred.

  • 1-3 years related work experience required, 2 or more years of progressively responsible experience in project management and/or business administration, preferably in a healthcare setting.

  • Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications. May produce complex documents, perform analysis and maintain databases.

Preferred Qualifications:

  • Additional training in project management preferred.

  • Experience in an academic or healthcare environment preferred.

Oral Communications: Ability to comprehend and communicate complex verbal information in English to medical center staff, patients, families and external customers.

Knowledge: Ability to demonstrate in-depth knowledge of concepts, practices and policies with the ability to use them in complex varied situations.

Team Work: Ability to act as a team leader for small projects or work groups, creating a collaborative and respectful team environment and improving workflows. Results may impact the operations of one or more departments.

Customer Service: Ability to provide a high level of customer service and staff training to meet customer service standards and expectations for the assigned unit(s). Resolves service issues in the assigned unit(s) in a timely and respectful manner.

Physical Nature of the Job:
Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, pulling objects. Sitting most of the time, with walking and standing required only occasionally.

 

 

Pay Range:

$62,000.00 USD – $92,000.00 USD

The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, that may include seniority, education, training, relevant experience, relevant certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
