The OR Coordinator of the Operating Room is responsible to perform administrative duties and functions related to the operating room suite. The OR facilitator is responsible to schedule surgical procedures effectively and accurately. The OR facilitator is also responsible for continuous communication with several staff members on an ongoing basis, receives and makes multiple telephone calls, and assists with the Operating Room daily schedule to expedite surgical cases or personnel. Works in collaboration with the Nurse in Charge and Anesthesia, but is ultimately responsible to the OR Nurse Manager.

Job Description:

PRINCIPAL DUTIES AND ESSENTIAL FUNCTIONS:

3.    Department Specific Responsibilities      

  • Coordinates the effective and accurate progression of a complex operating room schedule.
  • Schedules surgical add-ons in OR Manager system, for input on the operating room schedule. Must know which cases can be scheduled and during which hours, the substitution of cases and the utilization of specific rooms for specific cases.
  • Assures that pre-op preparation and transportation of patients to and from areas meets the tight deadlines of the operating room schedule.
  • Keep nurses and physicians informed of the progress of the schedule, alerts them to actual or potential delays and notifies them of the expected time changes.
  • Alerts appropriate nursing and anesthesia staff for additions or changes made to the schedule to ensure optimum utilization of operating rooms. Also notified team leaders and all other appropriate personnel when cases are booked, changed, or canceled, including but not limited to on-call teams.
  • Acts as the central communications person of the Operating Room. This position is responsible for initiating or receiving all telephone messages to and from areas and conveying information clearly and concisely.
  • Develops a rapport and collegial relationship with nursing and clinical staff and responds to questions/requests from physicians and providers. Can effectively assist vendors in the OR, salespeople and students.
  • Must be able handle and extremely heavy telephone volume at the OR desk. This includes answering calls in 3 rings or less in a courteous manner, knowledge of paging systems and overhead paging, transferring and parking calls, taking messages, answering questions for incoming callers, scheduling cases to be performed in the OR, and any other calls which come in to the OR desk.
  • Responsible for maintaining a well-stocked, clean, and orderly work environment; including placing orders for supplies and equipment as needed.
  • As requested, collects, and prepares data relating to various activities within the operating room for reporting needs.
  • Keeps informed of policies and procedures for emergency situations which may occur (i.e., disaster).
  • Assists OR nurses in maintaining data affecting daily OR changes for surgery and anesthesia.
  • Safeguarding sensitive medical information and practicing strict procedures in handling confidentiality of data pertaining to patients.
  • Will be able to assist with day-to-day non-clinical operations and environmental issues. This includes communication with various ancillary services such as Engineering and Environmental Services, Telecommunications and the Materials Management.
  • Will act as a liaison to assist to assist with the patient information via the Bond Center, Post Anesthesia Care Unit, Intensive Care Units, and In-Patient units, etc.
  • Will schedule cases on the wait list/add on list, completing all required fields, communicating to the appropriate personnel, and entering the case into the OR Manager system, utilizing all proper codes for case entry.
  • Ensures all necessary individuals are notified and given copies of finalized schedules.

4. Adheres to the Code of Excellence

  • Recognizes and responds appropriately to both verbal and nonverbal communications from staff and physicians.
  • Demonstrates effective communication with the health team by:
  • Accurately reporting clinical information.
  • Actively working to resolve issues/problems.
  • Courteously greets, directs and gives non-medical information to visitors and staff.
  • Works productively and cohesively with individuals from diverse backgrounds, training and experiences.
  • Resolves issues using appropriate channels of communication when necessary.
  • Actively listens to issues/concerns, identifies problems and participates in problem solving.
  • Answers telephone by identifying department and self-including status
  • Works courteously and collaboratively with all members of the health team.
  • Receives and directs information accurately to appropriate personnel.
  • Uses paging system appropriately.
  • Responds appropriately in emergency situations.

5. Computer Responsibilities       

  • Proficient computer skills. The ability to learn department software in order to enter and access information.
  •  Understands the functions and is able to input, update, and maintain the OR scheduling system.
  • Demonstrates knowledge of web-based applications and some Microsoft Office applications which may include Outlook, Word, Excel.
  • Works with physician's offices to accommodate requests within a reasonable time frame.
  • Works with the Charge Nurse or Nurse Manager to help facilitate a schedule that allows efficient utilization of the operating room resources.
  • Obtains necessary booking information from person requesting surgical time.
  • Communicates special equipment, instruments and supply requests in the equipment pool in MSM.
  • Refers conflicts and procedural questions to Scheduling supervisor, Charge Nurse or Nurse Manager.
  • Understands and is able to use the hospital order system to access admission data.
  • Schedules surgical procedures in computer systems, MSM and Meditech.
  • Changes status of AM admissions in Meditech by running report at the end of each day.

6. Assist charge nurse with schedule efficiency

  • Calls surgeon offices for availability to move up for more efficient OR use.
  • Schedules Add-on procedures and prints Pick list for CSS.
  • Communicates to the Bond Center when a surgeon is ahead of schedule.
  • Notifies x-ray department of procedures requiring a technician.
  • Corrects improper bookings and generates new pick list to be distributed to CSS.
  • Copies assignments on schedule to be posted for the following day.
  • Completes staffing cards (blue cards) two weeks in advance.

7.  Departmental Requirements/Time Management

  • Adheres to O.R. Surgical Attire Policy and Procedure. Observes the hospital uniform dress code and wears identification name pin at all times.
  • Exhibits a positive attitude when dealing with others.  Demonstrates a good rapport and cooperative working relationship with all members of the department.
  • Consistently coordinates work to achieve maximum productivity and efficiency during the assigned shift.
  • Demonstrates emotional stability by not allowing personal/work related problems to interfere with performance.
  • Observes hospital policy concerning smoking regulations, telephone usage, and other related rules governing conduct while at work.
  • Accurately signs time sheets according to established procedures.
  • Seeks direction necessary for the accurate completion of duties and development of skills.
  • Willing and able to perform other related duties.
  • Demonstrates dependability and flexibility in meeting unit needs.
  • Demonstrates organizational skills and the ability to prioritize within scheduled hours.
  • Makes effective use of down time (i.e., assists others, works on QI or other unit projects).

8. Plans time away from work appropriately

  • Arrives and leaves at designated times.
  • Uses unplanned earned time appropriately (Based on full time hours.  Standards are pro-rated for part-time employees based on agreed hours).

9.  Performs other related duties as required.

10.  Attends annual safety review.
