Welcome to The Herrick House, part of Beth Israel Lahey Health Continuing Care. Our teams of nurses, aides, food service, and environmental service employees work to create an environment that supports the physical, mental, emotional, and spiritual needs of our residents along with their families.

Position Summary:
Represents the residence in a professional, pleasant, courteous and accommodating manner to the community and general public. Responsible for meeting and greeting all visitors to the residence and directing them to the appropriate person/area. Directs all incoming phone calls to the appropriate party and performs other clerical duties such as filing, typing, mail sorting, etc.

Job Description:

Front Desk Responsibilities

1. Handles all incoming telephone calls in a professional and courteous manner

2. Directs calls to the appropriate person/department

3. Greets guests and visitors in a professional and courteous manner

4. Directs guests and visitors to the appropriate person/department

5. Coordinates front desk activities

6. Communicates with co-workers either verbally, through the communication log book, and email

7. Maintains the front desk in a neat and orderly manner

8. Ability to respond calmly in emergency situations

9. Responds to resident requests in a kind and courteous manner

10. Ensures new employees receive employee name tag on orientation day

11. Sorts mail as needed

12. Directs all mail forwarding to appropriate address

13. Checks levels and fills (if needed) paper in copier, fax machine and printer

14. Contacts vendor for copy machine/fax machine issues

15. Supports The Herrick House Executive Director and management team as directed

16. Completes new resident welcome packets

17. Assists the Director of Business Services with special projects as assigned 18. Assists the Director of Business Services with billing, inputting data into the billing system, cash receipts, etc.

19. Handles the timely process of resident rate increases

20. Performs similar and other related duties as required

Filing Responsibilities

1. Files all check requests and vendor invoices

2. Conducts periodic review of vendor files ensuring invoices are being filed in correct folders as directed

3. Files appropriate documentation in order in each of the residents’ financial folders

4. Conducts periodic reviews of the residents’ financial files ensuring all documentation is being filed in the correct areas as directed

Cash Deposits/Receipts

1. Monitors petty cash balance held at reception desk

2. Maintains and posts guest meal tickets

3. Takes direction from Director of Business Services in completing the process of cash deposits
