The Contract Associate II is a professional who will handle tasks of limited complexity to support and manage the Clinical Trials Office’s role in clinical research contracting under its processes.Job Description:
Primary Responsibilities:
Assists the Clinical Trials Office (CTO) to manage a large volume of paperwork related to the following agreements; confidentiality agreements (CDA), clinical trial agreements (CTA), subcontracts (Subs), amendments (Amendments) and clinical research support agreements (CRSA) (collectively, the “Agreements”); tracks Conflict of Interest in CTO internal database for each CTA. Maintains and tracks Master Agreements and maintains internal database for Masters. (essential)
Prepares final documents for routing for signatures upon review and approval by the CTO Contract Specialist. (essential)
Follows up regularly with industry sponsors and all relevant parties to ensure timely review and execution of Agreements; assists with the management of Agreements through the CTO processes. (essential)
Enters each new CDA into CTO internal databases and create folders. (essential)
Generates, edits and negotiates the terms of CDAs under the oversight of CTO Associate Director. (essential)
Generates, edits and negotiates the terms of amendments to existing agreements under the oversight of CTO Associate Director. (essential)
Assists with the Fully Executed Agreements Process: upload final documents into relevant database/e-file, distribute a PDF of the fully executed agreement to all relevant parties. (essential)
Maintains up to date REX database entry and records. (essential)
Assists in the management of multicenter trial documents. Assist with PI change process. (essential)
Helps cover for Administrative Assistant (AA), follows coverage SOP. (essential)
Assists with any other projects as requested. (essential)
Required Qualifications:
Associate's degree required; Bachelor's degree preferred.
2-4 years related work experience required in Administrative Support in a contract management environment.
Some Paralegal experience required.
Excellent written and oral communication skills.
Highly organized with demonstrated ability to establish priorities.
Ability to work independently with minimal supervision.
Flexibility and ability to manage numerous tasks concurrently and ability to act cooperatively with many individuals.
Demonstrated ability to pay attention to detail and to perform with accuracy.
Thorough knowledge and experience with computer systems required, including web- based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access and database management and a willingness to learn.

Written Communications: Ability to communicate clearly and effectively in written English with internal and external customers.
Oral Communications: Ability to comprehend and converse in English to communicate effectively with medical center staff, patients, families and external customers.
Knowledge: Ability to demonstrate full working knowledge of standard concepts, practices, procedures and policies with the ability to use them in varied situations.
Team Work: Ability to work collaboratively in small teams to improve the operations of immediate work group by offering ideas, identifying issues, and respecting team members.
Customer Service: Ability to provide a high level of customer service to patients, visitors, staff and external customers in a professional, service-oriented, respectful manner using skills in active listening and problem solving. Ability to remain calm in stressful situations.
Social/Environmental Requirements:
Work requires close attention to task for work to be accurately completed. Intermittent breaks during the work day do not compromise the work.
Work routine is fairly consistent, but employee needs to be able to use judgment to respond to events several times a week.
No substantial exposure to adverse environmental conditions
Health Care Status: NHCW: No patient contact.- Health Care Worker Status may vary by department.
Sensory Requirements:
Close work (paperwork, visual examination), Monitor Use, Visual clarity <3 feet, Conversation, Monitoring Equipment, Telephone.
Physical Requirements:
Sedentary work: Exerting up to 10 pounds of force occasionally in carrying, lifting, pushing, pulling objects. Sitting most of the time, with walking and standing required only occasionally. This job requires constant Keyboard use, Endurance-working up to 3-4 hours without a break, frequent sitting.
