Reporting to the Division Chairs, and the Executive Director, the Director, Transplant Services is responsible for the strategic, financial, operational and regulatory oversight of the Division of Transplantation & Hepatobiliary Diseases, Nephrology and Dialysis. The Director will serve as the Primary UNOS/CMS Transplant Administrator for the Lahey Hospital & Medical Center’s Transplant Program.

Job Description:

Essential Duties & Responsibilities including but not limited to:

Administrative/Operational

1.    Oversees the operation of the ambulatory clinics, which includes transplant surgery, nephrology, hepatology, infectious disease, clinical research, social work and other related ambulatory visits. 
2.    Supports department, staff and physician meetings to disseminate information and solicit input from all staff members related to policy and procedure, day to day operations, business management etc.
3.    Manages staff including nurse/operations managers, quality manager, outreach manager, research coordinators and transplant financial coordinators.  Will provide direction and support to staff and, when appropriate, implement employment actions such as hiring, termination, corrective action and performance reviews. 
4.    Executes divisional projects and initiatives in conjunction with managers.
5.    Participates in and complies with Lahey Medical Center compliance initiatives.
6.    In coordination with Executive Director and Chair, oversees professional staff recruitment activity with Human Resources.
7.    Explores, evaluates and implements Epic enhancements.
8.    Work with Marketing and Communications to maintain an updated and relevant website page that showcases activities as well as provides patient/family interaction.
9.    Develops, implements and monitors customer service & patient experience initiatives. Addresses practice access issues with the managers, clinicians and support staff. Responds to and resolves customer complaints and grievances with Risk Management & Patient Liaisons. 
10.    Oversees respective facilities and issues related to repairs, cleaning, directories, signage etc. Coordinates with Executive Director on space allocation, renovation projects etc. 

Quality and Regulatory
1.    Possess and maintain appropriate knowledge of regulatory requirements specific to transplant programs including policies and regulations from Joint Commission, United Network for Organ Sharing (UNOS) and Center for Medicare and Medicaid Services (CMS). Implements operational policies processes to meet regulations. Develops and implements monitoring tools for regulatory requirements.
2.    Works in conjunction with the Transplant Quality Manager to ensure necessary resources and reporting systems are of the highest standards.
3.    Engages the multidisciplinary team in QAPI activities, UNOS staffing surveys and COE applications. 
4.    Ability to cross cover for the Quality Manager functions to ensure coverage and reporting at all times for the program. 
5.    Acts as liaison with the New England Organ Bank representing Lahey Hospital and Medical Center as a donor hospital and a Transplant Program.
6.    Participates in hospital, local and regional activities to increase the number of lives saved through organ donation. Participates in Region 1 UNOS meetings and Region 1 Transplant Administrators meetings. 

Strategic
1.    In conjunction with the Chairs, Medical Directors and Executive Director, is responsible for business development, strategy and programmatic growth. Identify strategies, objectives, timetables, expected outcome and measures and is responsible for the implementation, monitoring and evaluation of such plans. Updates plan as necessary to reflect challenges and opportunities in the marketplace. Oversees the Transplant Outreach Program and Outreach Manager. 
2.    Assists Chairs, Medical Directors, Quality Manager and Managers in establishing department policies and procedures. 
3.    Works with Chairs, Medical Directors, Executive Director and Managers on the development of new programs, implementation and monitoring, in collaboration with the Business Development, Marketing and Outreach Departments.
4.    Responsible for developing and maintaining strong working relationships with appropriate dialysis centers and other community entities that support growth opportunities.
5.    Serves as primary liaison with hospital departments such as IT, Facilities, Finance, and Revenue Cycle to optimize service delivery, communication and workflows to optimize business operations. 

Fiscal
1.    In conjunction with the Executive Director, develops, implements and monitors annual operating budgets and select research budgets. Advises on availability and use of restricted funds, authorizes specific expenditures and assigns them to appropriate budget or fund.
2.    Provides statistical and financial reports based on systems data to report trends and issues on a monthly basis. Reviews variances and recommends appropriate solutions. 
3.    Assist in capital budgeting, prepare cost/benefit analyses, and ensure optimal resource allocation while maintaining high-quality patient care.  
4.    Oversee the revenue cycle in assigned divisions, ensuring accurate charge capture, billing, insurance verification, and co-pay collection to optimize financial performance.  
5.    Regularly review and analyze operational and financial performance data, providing leadership with reports highlighting key performance indicators and opportunities for strategic growth.  
6.    Forecast and address divisional needs related to personnel, supplies, equipment, training, and contract management. Assist in negotiating and managing contracts for services within assigned divisions.  
7.    Demonstrates a working knowledge of the Medicare Cost Report. Identifies areas of concern and takes immediate action with appropriate depts. for resolutions.  Provides regular updates to Executive Director, Chairs and physicians. Collaborates with Epic, revenue finance reimbursement, PB/HB billing, and transplant financial coordinators to support Medicare Cost Report compliance and submission. 
8.    Need to be conversant in all aspects of medical professional services and reimbursement as it relates to services provided in programs. 
9.    Works in collaboration with BILH contracting staff to manage contracting process with third party payers and serves as the transplant SME for payor strategy. 
10.    Oversees invoice processes for organs, NKR, vendors, services, SCAs, etc. Analyses spending trends and looks for opportunities to reduce expenses without compromising patient care. 
11.    Has direct oversight of the Transplant Financial Coordinators. Provides general oversight of the TFCs and the WQs that they manage.

8)    Performs all other duties as needed or directed to meet the needs of the department.

Minimum Qualifications:

Education:  BA in Nursing, Business Administration, Hospital Administration or related field. Master’s Degree preferred. 

Licensure, Certification, Registration:  

Skills, Knowledge & Abilities: Thorough knowledge of the Transplantation field including all regulatory and operating requirements. Ability to be an effective leader possessing excellent organizational, interpersonal and communication skills at all levels internally and externally.

Experience:  A minimum of 4 years of progressive healthcare management/leadership experience in Transplant.
