Reporting to the Perioperative Logistics Manager, the Lead Coordinator performs a variety of duties. This Colleague leads and coordinates all inventory related activities for the Operating Room. These activities include overall responsibility for the ordering, reconciliation and distribution of supplies in the Operating Room. Additional duties may include but will not be limited to: UDI tracker system content expert, reporting usage trends and analysis, as well as identifying process improvement and cost saving opportunities. This colleague manages and maintains the inventory processes within Peoplesoft, and is responsible for providing training and support to all users as necessary.
Primary Responsibilities:
1) Establishes standards and par levels for supplies and equipment for the Operating Room collaborating with leadership team and providers to determine needs and all related costs.
2) Recommends improved cost effectiveness in the procurement, distribution and usage of supplies and equipment.
3) Manages daily inventory replenishment process of medical supplies, tracking of purchase/storeroom orders, tissue tracking through UDI Tracker and equipment repairs.
4) Reconciles, researches and resolves all replenishment order issues including short shipments, backorders, wrong product, replacement items, and delays working with Purchasing, Suppliers and Supply Chain team.
5) Assists in conducting and evaluating trials for new equipment and supplies in conjunction with Operating Room leadership.
6) Manages and provides direction to team on min/max levels, reorder process, discrepancies, initiating adjustments, and returns to assure accurate inventory levels are met daily.
7) Provide team with Peoplesoft and Pyxis training for ordering and reporting to ensure economic order quantities are developed and met by analysis of usage history.
8) Maintains the confidentiality of department, and patient information.
9) In addition, this position may have ongoing or periodic duties or responsibilities in addition to those described in this position description.
10) Represent Operating Room as point person working with Supply Chain to develop expectations/requirements, resolve open issues and provide inventory management solutions. Critical to the success of both Operations.
11) Leads and provides oversight to the supply technicians of the Operating Room. Collaborates with the Operating Room Nurse Manager on job performance and evaluations of these individuals
Required Qualifications:
1. Education: High school diploma (or equivalent) is required. Bachelor’s degree preferred.
2. Licensure, Certification, Registration: Not Applicable
3. Skills, Knowledge & Abilities:
· Proficient with Epic and Peoplesoft and its Purchasing, Inventory, and Reporting Tools modules
· Knowledge of Microsoft Office including Excel and Outlook
· Strong interpersonal skills to work and interact with all levels of hospital colleagues including department customers, leadership, and system end users · Proven customer service skills. Demonstrates prompt, courteous, responsive, caring service behaviors, and effectively communicates with customers to address needs and problems.
· Excellent verbal & written communication, and presentation skills
· Ability to be accountable and self-directed to complete job/work in collaboration with other members of the team
· Proven analytical, technical, and critical-thinking skills
· Strong decision-making, and problem-solving and skills
· Demonstrates flexibility in face of changing work environment, prioritizing and adjusting work schedules accordingly
4. Experience:
· 1 year of experience within Inventory Control in a Storeroom/Distribution setting within Healthcare is required.
