The Medical Education Coordinator position is a full time, 40hrs/wk, day shift, and will be working 100% on-site at Mount Auburn Hospital in Cambridge, MAJob Description:
Job Summary:
Provide administrative support to the Chair and MEC to ensure that all CME activities comply with the accreditation requirements and CME standards and regulations of the Massachusetts Medical Society (MMS), Accreditation Council for Continuing Medical Education (ACCME), and American Medical Association (AMA).
Work in concert with the Chair and MEC to complete the self-study report, review and assemble CME activity files, establish a survey date, and attend the reaccreditation survey interview.
Coordinate all aspects of accreditation to include maintenance of a list of current MEC members, scheduling and recording of minutes of MEC meetings, generating quarterly reports and timely submission of annual report information in the ACCME’s Program and Activity Reporting System (PARS).
Ensure that all CME activities meet compliance requirements for the ACCME’s Standards for Integrity and Independence in Accredited Continuing Education to include securing disclosure from all in a position to control content (i.e. faculty, planners, MEC members) and disseminating appropriate information to CME recipients.
When applicable, collaborate with non-accredited providers to produce jointly provided activities that are compliant. Ensure the Join Providership Agreement form is complete and signed by both parties.
The Coordinator will maintain a file for each CME activity offered during the current accreditation term that includes required documentation necessary for accreditation. This includes all conferences held at the hospital (which ranges between 15-20 programs).
Maintain accurate CME attendance records for all staff physicians and provide transcripts for re-credentialing.
Assist in the weekly management of Medical Grand Rounds, including managing the annual calendar with the Chair and the Medical Grand Rounds Series Director, and posting educational resources on the hospital intranet. Design and distribute promotional announcements for each activity to include program objectives and proper accreditation and credit designation statements.
Assist in the management of Schwartz Rounds (held up to six times per year), including scheduling planning meetings and generating documents/handouts.
Assist in coordinating Faculty Development events in collaboration with the Chair and the Director of Faculty Development.
Principal Duties and Responsibilities - Assistant to the Chair, Department of Medical Education
Provide administrative support to the Chair, including coordinating the Chair’s calendar, scheduling meetings, booking conference rooms, generating letters and other documents, recording telephone messages, arranging for travel and lodging for the Chair and invited speakers from outside Boston, and coordinating special events including Resident Research Day, award ceremonies, and faculty dinners for invited speakers.
Support the work of the Chair and colleagues in the planning and coordination of the Mount Auburn Hospital Fellowship in Health Professional Education, including generation of the Fellowship syllabus, coordinating and scheduling speakers and conference rooms, ordering and distribution of materials to participants (including textbooks), maintenance of online resources used by the fellows and the Chair, and planning for special events, including graduation.
Monitor various Department of Medical Education funds earmarked for education in collaboration with the Chair. Process invoices and payments association with Department of Medical Education expenses.
Assists, tracks, organizes residency or fellowship related administrative activities in consultation with and on the direction of the Chair of Medical Education, and thus support the institutions’ GME activities.
To effectively collaborate with the other support staff within the Department of Medicine, Surgery, and Medical Education.
Principle Duties and Responsibilities – department of Medicine
Assists the Chair and Associate Chairs of the Department of Medicine in administrative activities related to Mount Auburn Hospital faculty promotions at Harvard Medical School.
Required Qualifications:
The ideal candidate will possess a college degree or equivalent, and will have at least one year of experience coordinating continuing medical education programs and services.
Knowledge of the current accreditation requirements and CME standards and regulations of the Massachusetts Medical Society (MMS), Accreditation Council for Continuing Medical Education (ACCME), and American Medical Association (AMA) are preferred.
Working knowledge of graduate medical education (GME) programs is preferred but not required.
In addition, the ideal candidate will be able to effectively coordinate and assign priority to multiple projects, and will have demonstrated capability to meet deadlines and complete assignments. They will have strong interpersonal and organizational skills, excellent computer skills (Microsoft Office suite), basic database management experience (Excel), editing and proofreading skills. Punctuality, attention to detail, communication skills, and demonstrated awareness of team dynamics are vitally important.
