The Director of Special Events is responsible for the planning and implementation of Beth Israel Lahey Health's comprehensive events program, including fundraising events (galas, golf tournaments, 5K walk/run, etc.), donor recognition and stewardship events, building dedications, and other special events. Provides leadership, administrative oversight and strategic direction to the Special Events team. In addition, the Director has responsibility for the planning, organization and operation of annual and project specific reporting designed to analyze and evaluate the efficacy of all events. Responsible for developing and managing programs and activities designed to cultivate and recognize principal, major and annual outright and planned giving prospects and donors, coordinating such efforts with the senior management team and staff within Philanthropy.

Job Description:

  • Support the needs of the Office of the President and CEO and Beth Israel Lahey Health's various governing Boards in the planning and implementation of events.
  • Assist in their individual and collective preparation for events. Manages event associate directors, overseeing direct report portfolios, advising on event planning process, and ensuring timelines, expectations, and goals are met.
  • Responsible for the planning and execution of events and projects that will maximize strategic opportunities for Beth Israel Lahey Health's Office of Philanthropy.
  • Responsible for events and projects which support philanthropy at BILH through the cultivation and recognition of donors, including formal dinners, presidential dinners, exhibitions, lectures, symposia, etc.
  • The Director and his/her staff are also responsible for managing the BILH Philanthropy event calendar and for creating and sustaining an enterprise-wide calendar of public events.
  • Identify, negotiate with, and manage relationships and transactions with external and internal vendors who participate in and support BILH events.
  • Collaborates with colleagues in Philanthropy, including Marketing, Communications and Donor Relations, to conceptualize and implement recognition strategies and programs for donors to campaigns and other special funding initiatives.
  • Develops annual and long-term plans and goals for the events team and manages the events budget that supports this aspect of BILH Philanthropy's mission.
  • Direct the events team in effective use of the Raiser's Edge database system to systematically record, monitor, manage and report event activities.
  • Manage and coordinate event planning personnel and daily team operations to achieve stated goals. Evaluate direct report personnel and train new staff members, as needed. Protect confidential information, and otherwise follow and direct best practices in the field of donor relations.
  • Has the authority to direct and support employees daily work activities. Has the direct responsibility to undertake the following employment actions: hiring, termination, corrective action and performance reviews.

Required Qualifications:

  • Bachelor's degree required.
  • 8-10 years related work experience required in Non-profit events, client or donor relationship management. and 3-5 years supervisory/management experience required
  • Ability to establish positive, productive working relationships with donors, prospects and volunteers, including governing board members.
  • Facility with developing and formalizing processes and procedures.
  • Ability to travel and work flexible hours including evenings and weekends.
  • Experience with computer systems required, including web based applications and some Microsoft Office applications which may include Outlook, Word, Excel, PowerPoint or Access.

Independence of Action: Ability to set goals and priorities for functional area. May make recommendations for department policies, practices and programs. Manager or Director provides broad guidance and overall direction.

Written Communications: Ability to communicate complex information in English effectively in writing to all levels of staff, management and external customers across functional areas.

Oral Communications: Ability to verbally communicate complex concepts in English and address sensitive situations, resolve conflicts, negotiate, motivate and persuade others.

Knowledge: Ability to demonstrate in-depth knowledge of concepts, practices and policies with the ability to use them in complex varied situations.

Team Work: Ability to act as a team leader for small projects or work groups, creating a collaborative and respectful team environment and improving workflows. Results may impact the operations of one or more departments. Customer Service: Ability to lead operational initiatives to meet or exceed customer service standards and expectations in assigned unit(s) and/or across multiple areas in a timely and respectful manner.
