Job Description:
The Office Coordinator oversees medical records and assists with other program projects as needed. Responsibilities include processing of payroll, accounts payable, facility management, equipment/IT tracking, maintain and order supplies and all coordination of correspondence
Essential Functions/Key Responsibilities:
Provides technical assistance to staff on operational issues such as personnel policies, payroll, travel expense, check request, purchasing, record keeping and training.
Process payroll for program(s)
Maintain program(s) IT inventory list
Orientates new employees to program including but not limited to safety procedures, IT needs, voicemail, office space assignment, access codes, etc.
Oversees medical records function for program(s), ensuring that files are properly maintained per program regulations, neat and orderly.
Manage all mail and other patient related correspondence, both internal and external
Monitors physical site need in relation to maintenance, information technology, phone system, office machines and supplies.
Collaborate with other departments as required to meet facility requirements for licensing bodies, occupancy certificates, etc.
Prepares work orders for facility and IT needs, working closely with the facilities and IT department to ensure project(s)/request(s) are completed as requested.
All other duties as assigned
Qualifications & Education:
High School Diploma/GED; a minimum of 3 yrs.
Experience in a related field; basic supervisory principles and practices; techniques for dealing effectively with the public and staff, in person and over the telephone.
Standard office administrative practices and procedures, including the use of standard office equipment; Computer applications; Excel and Word, knowledge of electronic health records a plus; records management principles and practices.
Schedule: Full Time, 40 Hours, Days
