Under the general direction of the Director of Radiology, reporting to the Mammography Supervisor, the Radiology Scheduler performs a wide variety of specific and specialized duties. This position requires knowledge of procedures and policies related to the Radiology Department, patient scheduling requirements and functions as a team player.
Utilizes excellent customer service skills with callers and patients requesting appointments. Schedules appointments for all imaging procedures (as well as Pulmonary and Neurology Testing).

Job Description:

DUTIES AND RESPONSIBILITIES:

  • Responsible for scheduling all radiology appointments, utilizing excellent customer service skills both in person and by telephone. Receives faxes and phone calls from referring offices for scheduling and returns scheduled appointments to the referring practice.

  •  Confirms that an order is present prior to scheduling the patient appointment to ensure the correct patient, correct test and appropriate indication. Confirms patient information required to include full name, DOB and preferred telephone number.

  • Schedules all exams including special procedures (CT and Ultrasound guided biopsies, cyst aspirations, drainages, etc.).

  • Coordinates appointments with interpreter services as needed.

  • Request and obtain outside films and reports when needed.

  • Prints and mails result letters to physicians.

  • Adept at using computer software connecting to electronic health records of network affiliates (referring provider groups/organizations).

  • Informs physician office or patient of testing requirements/preparation.

  • Verifies patient insurance eligibility and benefits utilizing the hospitals software solution.

  • Checks for payers' pre-authorization requirements.

  • Enter referrals, prior authorizations numbers and effective dates into the system.

  •  Able to identify exams not performed at BID-Milton and assist with directing physician practices into BIDMC as appropriate.

  • Prints the daily schedules for each modality and ensures all orders are present.

  • Seeks assistance from a supervisor or technologist when a doctor's order is unclear or if an appointment needs to be prioritized.

  •  Cross covers Radiology reception as needed (i.e. lunch/vacation/sick coverage and volume surges).

  • Assists department with emergency re-scheduling due to equipment downtime or other events.

  • Greets patients in a friendly manner. Escorts/directs patients to appropriate waiting area. May be asked to direct patients to dressing area and instruct patients to change.

  • Performs accurate hospital registration related to the Radiology/Cardiology/Neurology visit.

  • Upon the patient's arrival, enters the proper exam(s) and pertinent clinical history accurately in the Meditech EMR.

  • Ensures that all exam related patient questionnaires are provided to the patient and accurately scans them in to the PACS system with any exam related orders.

  • Informs patients of any delays in exam times and answer all questions in a courteous, professional manner.

  • Distributes by telephone or by fax any wet readings provided by the Radiologist and ensures receipt.

  • Answers and directs telephone calls to appropriate individuals within the Radiology/Cardiology department. Takes messages, uses overhead paging system, and responds to routine questions.

  • Confirms appointments with patients over the phone as needed.

  • Monitors supplies and notifies supervisor when replenishment is needed.

  • Assists with requests for CDs in a timely fashion. Burn CD's and complete request forms according to policy. Distributes CDs to patients and ensures request is completed in its entirety.

  • Maintains clean and organized work area.

  • Demonstrates the ability to work harmoniously and productively with other staff members.

  • Assists in training new employees to scheduling duties when necessary.

  • Collaborates, cooperates and communicates with other health care providers to ensure quality and continuity of care. Provides care appropriate to the age groups of patients regularly served; seeks assistance for resources of other age groups that need care,

  • Demonstrates competency in all applicable aspects of the Meditech system following departmental guidelines for maintaining patient confidentiality.

  • Considers specific cultural beliefs and practices when caring for patients, utilizing interpreter services for patients with limited English proficiency.

  • Completes assignments accurately and on time; enthusiastically provides assistance to others when need exists; proactively seeks ways to assist.

  • Participates in department and organizational training as assigned and completes mandatory education on a timely basis.

  • All communications with others, whether written or oral, are clear, concise, courteous, appropriate and timely.

  • Exhibits calm and professional manner at all times; recovers quickly from adverse situations; maintains confidentiality, seeking and sharing information on need-to-know basis only. Recognizes need to adapt approach to address each problem and/or satisfy each customer individually; seeks fair and balanced solutions.

  • Solves common problems independently when appropriate; uses team approach to solve more complex issues and appropriately escalates questions and concerns beyond the scope of responsibility to the appropriate person within the department.

  • Presents new and better ideas as part of a team approach.

  • Work variable shifts as necessary.

Employee maintains competencies (position specific and hospital-wide) required for the specific patient population served.

Performs all duties in accordance with safety and other laws, rules, and regulations set forth by appropriate regulatory and government agencies and in accordance with established department and hospital policies and procedures.

May be required to perform similar or related duties as may be necessary on an emergency basis or as designated by the department manager or supervisor.

MINIMUM QUALIFICATIONS:
Education

  • High School diploma or equivalent.

Experience

  • One year of experience in medical or customer service working environment.

  • Knowledge of Medical Terminology.

  • Experience with Microsoft office products and Meditech experience preferred.

Skills

  • Knowledge of Medical Terminology.

  • Reading and writing skills sufficient to identify pertinent patient information.

  • Excellent interpersonal communication skills with engaging telephone manner and presence.

  • Computer knowledge and expertise. Meditech experience preferred.

  • Requires working knowledge of basic skills and the ability to understand and follow simple written and oral instructions.

  • Problem solver with the ability to multitask with outstanding organizational skills.

  •  Must be able to work in a fast-paced environment and demonstrate the ability to prioritize multiple competing tasks and demands and to seek managerial assistance as needed.  ICDIO knowledge is an asset.
