According to established policies, provides scheduling, general secretarial and administrative support for the Endoscopy unit and ACU Departments. Schedules patient appointments, analyses block booking data. Supports the department in various administrative functions.

Education/

Required:

  • High School diploma

Experience:

  • At least three years of work experience in an administrative support job. Experience in scheduling in a medical office or hospital required.
  • Basic medical terminology and working knowledge of Microsoft excel required.

PHYSICAL MENTAL AND VISUAL REQUIREMENTS:

  • Ability to stand for long periods of time.
  • Ability to reach and grasp objects, life and push heavy objects, and position and transfer Patients.
  • Ability to hear and communicate orally and in writing.
  • Ability to proofread and check documents for accuracy
  • Ability to enter words and data into a computer.

Schedule Requirements:  Generally business hours but hours may fluctuate based on business needs

Travel Requirements:   Minimal travel required, but some appointments may be required within the Winchester Hospital/Lahey Health community and organization.

JOB FUNCTIONS

Performs all Administrative Secretary I duties, as needed.
Creates reports, spreadsheets, and statistics to assist in analyzing block time utilization by Endoscopes or specialty and report to Endoscopy Committee.
Tracks release of allocated block time, cancellation reports.  Makes recommendations to nursing management quarterly for block time review by the Endoscopy Committee.
Solicits Endoscopy volume when block time becomes available by contacting physician offices in order to maximize the utilization of the available endoscopy time.
Maintains procedure dictionary and updates data including new personnel, special equipment and new procedures.
Troubleshoots identified scheduling system issues and communicates problems to appropriate physician / hospital management while properly documenting details of the issue, when necessary.
Enters and transmits charges to maintain Endoscopy inventory and capture maximum revenue.
Troubleshoots issues regarding transmission of charges in collaboration with Finance and IS.  Works with Endoscopy Buyer to ensure acquisition of special supplies for scheduled procedure.
Acts as a liaison with IS for system upgrades and staff concerns or questions.
Performs routine administrative tasks necessary in the maintenance of scheduling system. 
Promotes communication and problem solving with physician office staff, members of the health care team and inter-departmentally regarding scheduling of Endoscopy cases. 
Coordinates scheduling of Endoscopy and surgical procedures for the Endoscopy unit and modifies scheduling module to incorporate changes recommended by the Endoscopy Committee. 
Schedules patients for anesthesia support for procedures in Radiology and ACU. Schedules necessary equipment for scheduled Endoscopy procedures and works with Lead Tech.

Covers for ACU scheduler when need arises.
Participates in the following:
a.    Mandatory training requirements as per hospital/unit policies
b.    Continuing education/in services to enhance knowledge
c.    Staff meetings
d.    Performance improvement initiatives
e.    Orientation of new staff, students or volunteers.
Performs other duties as requested
